3. Finalità del trattamento
- Erogazione del servizio di concierge IA per gli ospiti degli hotel
- Registrazione e assistenza dei bambini nel programma di animazione della struttura (solo se attivata)
- Trasmissione delle preferenze pasto e delle intolleranze alla cucina e al servizio della struttura (solo se attivata)
- Gestione degli account e degli abbonamenti degli operatori
- Gestione tecnica e sicurezza della piattaforma (rate-limiting, diagnosi errori)
- Fatturazione tramite Stripe
4. Durata della conservazione
- Dati delle conversazioni: Massimo 24 mesi dalla data di creazione, poi cancellazione automatica
- Registrazioni animazione bambini: Cancellazione automatica il giorno successivo all'ultimo giorno di animazione (processo di cancellazione giornaliero)
- Preferenze pasto: Cancellazione automatica 24 ore dopo l'invio (eseguita dal processo di cancellazione giornaliero)
- Dati degli operatori: Fino alla cancellazione dell'account, poi eliminazione entro 30 giorni
- Audit di sicurezza degli operatori: Le sessioni revocate o scadute vengono eliminate dopo 90 giorni
- Dati Stripe: In conformità agli obblighi di conservazione legale (almeno 10 anni per i documenti contabili — gestiti da Stripe)
- Log tecnici: Massimo 30 giorni

Per i trasferimenti di dati verso gli USA facciamo affidamento sulle Clausole Contrattuali Standard (SCC) ai sensi dell'art. 46 GDPR e sugli accordi di trattamento dei dati dei rispettivi fornitori. Per Anthropic, il relativo Data Processing Addendum con SCC è incorporato nei Commercial Terms ed è accettato con tali termini (cfr. Anthropic DPA). Secondo Anthropic, gli input e output dei prodotti commerciali come l'Anthropic API non vengono utilizzati per addestrare i modelli, salvo esplicito feedback o opt-in (cfr. Anthropic Privacy Center).

7. Misure tecniche e organizzative (MTO)
- Crittografia in transito: HTTPS/TLS (obbligatorio)
- Crittografia a riposo: crittografia del database Supabase
- Controllo degli accessi: Row Level Security (RLS) su tutte le tabelle del database
- Pseudonimizzazione: gli ospiti sono identificati da UUID di sessione anonimi
- Minimizzazione dei dati: i campi sensibili (WiFi, codici di accesso) non vengono mai trasmessi al browser
8. Cookie e archiviazione locale
Dopo il vostro consenso, la chat per gli ospiti salva la conversazione in corso localmente nel vostro browser (localStorage gf_chat_session_…: ID di conversazione anonimo, cronologia della chat, scelta di lingua e profilo), in modo che sopravviva al ricaricamento della pagina. La voce viene rimossa automaticamente al più tardi 7 giorni dopo l'ultimo utilizzo e può essere cancellata in qualsiasi momento tramite «Nuova conversazione» nella chat. Inoltre la chat salva: il vostro consenso privacy (localStorage gf_consent), un riferimento temporale che limita la frequenza delle richieste di valutazione (localStorage gf_rating_last) e — dopo il consenso — un ID di sessione anonimo per il conteggio aggregato delle visite alla chat (sessionStorage gf_chat_visible_session_…). Le pagine legali salvano la lingua scelta (localStorage gf_lang). Tutte le voci sono tecnicamente necessarie o servono alla gestione del consenso e delle preferenze. Non vengono impostati cookie di tracciamento o pubblicitari. Il pannello di controllo utilizza cookie di autenticazione Supabase (tecnicamente necessari per l'autenticazione).

2. Data we process
Stayla processes the following categories of personal data:

3. Purposes of processing
- Providing the AI concierge service to hotel guests
- Registering and caring for children in the property's animation programme (only where enabled)
- Passing meal requests and intolerances to the property's kitchen and service staff (only where enabled)
- Managing operator accounts and subscriptions
- Technical operation and security of the platform (rate-limiting, error diagnosis)
- Billing via Stripe
4. Retention periods
- Conversation data: Maximum 24 months from creation date, then automatically deleted
- Child animation registrations: Automatically deleted the day after the last animation day (daily deletion run)
- Meal adjustments: Automatically deleted 24 hours after submission (executed by the daily deletion run)
- Operator data: Until account deletion, then erased within 30 days
- Operator security audit data: Revoked or expired sessions are deleted after 90 days
- Stripe data: Per legal retention requirements (at least 10 years for accounting records — managed by Stripe)
- Technical logs: Maximum 30 days

For transfers to the USA we rely on Standard Contractual Clauses (SCCs) under Art. 46 GDPR. Anthropic's Data Processing Addendum with SCCs is incorporated into Anthropic's Commercial Terms and accepted with those terms (see Anthropic DPA). According to Anthropic, inputs and outputs from commercial products such as the Anthropic API are not used to train models unless explicit feedback or opt-in is provided (see Anthropic Privacy Center).
6. Your rights
As a data subject you have the following rights:

7. Technical and organisational measures (TOMs)
- Encryption in transit: HTTPS/TLS (enforced)
- Encryption at rest: Supabase database encryption
- Access control: Row Level Security (RLS) on all database tables
- Pseudonymisation: guests are identified by anonymous session UUIDs
- Data minimisation: sensitive fields (WiFi, access codes) are never transmitted to the browser
8. Cookies and local storage
Once you have given consent, the guest chat stores your ongoing conversation locally in your browser (localStorage gf_chat_session_…: anonymous conversation ID, chat history, language and profile selection) so it survives a page reload. The entry is removed automatically at the latest 7 days after last use and can be deleted at any time via "New conversation" in the chat. In addition, the guest chat stores: your privacy consent (localStorage gf_consent), a timestamp limiting how often we ask for a rating (localStorage gf_rating_last), and — once consent is given — an anonymous visit session ID used for aggregated counting of chat visits (sessionStorage gf_chat_visible_session_…). The legal pages store your language preference (localStorage gf_lang). All entries are technically necessary or serve consent and preference management. No tracking or advertising cookies are set. The operator dashboard uses Supabase authentication cookies (technically necessary for login).

- Weitergabe von Essenswünschen und Unverträglichkeiten an Küche und Service des Betriebs (nur bei aktivierter Funktion)
- Verwaltung von Hotel-Betreiber-Accounts und Abonnements
- Technischer Betrieb und Sicherheit der Plattform (Rate-Limiting, Fehlerdiagnose)
- Abrechnung über Stripe
4. Speicherdauer
- Gesprächsdaten: Maximal 24 Monate ab Erstelldatum, danach automatische Löschung
- Kinderanimations-Anmeldungen: Automatische Löschung am Tag nach dem letzten Animationstag (täglicher Löschlauf)
- Essensanpassungen: Automatische Löschung 24 Stunden nach Übermittlung (Vollzug durch den täglichen Löschlauf)
- Hotel-Betreiber-Daten: Bis zur Account-Löschung, danach Löschung innerhalb von 30 Tagen
- Betreiber-Sicherheitsaudit: Widerrufene oder abgelaufene Sessions werden nach 90 Tagen gelöscht
- Stripe-Daten: Gemäß gesetzlicher Aufbewahrungspflicht (mindestens 10 Jahre für Buchungsbelege — durch Stripe verwaltet)
- Technische Logs: Maximal 30 Tage

Für Datenübermittlungen in die USA stützen wir uns auf Standardvertragsklauseln (SCCs) gemäß Art. 46 DSGVO. Der Anthropic-DPA mit SCCs ist in die Anthropic Commercial Terms eingebunden und wird mit diesen Bedingungen akzeptiert (siehe Anthropic DPA). Laut Anthropic werden Ein- und Ausgaben aus kommerziellen Produkten wie der Anthropic API nicht zum Modelltraining verwendet, außer wenn ausdrücklich Feedback gegeben oder ein Opt-in erteilt wird (siehe Anthropic Privacy Center).

7. Technische und organisatorische Maßnahmen (TOMs)

- Zugriffskontrolle: Row Level Security (RLS) auf allen Datenbanktabellen
- Pseudonymisierung: Gäste werden durch anonyme Session-UUIDs identifiziert
- Datensparsamkeit: Sensitive Felder (WiFi, Zugangscodes) nie im Browser übertragen
8. Cookies und lokaler Speicher
Nach Ihrer Einwilligung speichert der Gäste-Chat Ihre laufende Unterhaltung lokal in Ihrem Browser (localStorage gf_chat_session_…: anonyme Konversations-ID, Chat-Verlauf, Sprach- und Profilwahl), damit sie ein Neuladen der Seite übersteht. Der Eintrag wird spätestens 7 Tage nach der letzten Nutzung automatisch entfernt und kann jederzeit über „Neues Gespräch" im Chat gelöscht werden. Zusätzlich speichert der Gäste-Chat: Ihre Datenschutz-Einwilligung (localStorage gf_consent), eine Zeitmarke zur Begrenzung von Bewertungsanfragen (localStorage gf_rating_last) sowie — nach erteilter Einwilligung — eine anonyme Besuchs-Session-ID zur aggregierten Zählung von Chat-Aufrufen (sessionStorage gf_chat_visible_session_…). Die Rechtsseiten speichern Ihre Sprachwahl (localStorage gf_lang). Alle Einträge sind technisch notwendig bzw. dienen der Einwilligungs- und Präferenzverwaltung. Es werden keine Tracking-Cookies oder Werbe-Cookies gesetzt. Der Dashboard-Bereich verwendet Supabase Auth-Cookies (technisch notwendig für die Authentifizierung).
